Share Microsoft Teams meeting recordings with external users

Microsoft Teams gives users the ability to record their meetings. Recording meetings can be useful for training sessions or webinars that you want to reuse in the future. When a meeting is recorded in Microsoft Teams, it is automatically uploaded to Microsoft Stream, the default video player application in Microsoft 365. It is very easy to share videos uploaded to Microsoft Stream with members of your organization, but there is currently no way to share videos in Microsoft Stream with external users. So what should you do if you need to share a recorded Teams meeting with someone outside of your organization? This blog will go through the easiest workaround.

It should be noted that Microsoft understands that sharing Microsoft Streams videos with external users is a highly requested feature – and they are working on it. Microsoft has stated that they expect this functionality to be available in Q4 of 2020, but there is no official release date.

So what is the easiest way to share a Microsoft Teams meeting recording? We recommend downloading the recording from Microsoft Stream, uploading it to OneDrive or SharePoint, and sharing it from there. Both OneDrive and SharePoint allow sharing links with external users making them perfect places to store videos.

How to do it

After a Microsoft Teams meeting is recorded, you will automatically receive an email from Microsoft Stream alerting you that the video is available in your Stream library.

Navigate to Microsoft Stream via MicrosoftStream.com or from Office.com.

Click on the My Content tab and select Videos from the drop down list to find the meeting recording.

You will see the meeting recording at the top of the video list. Click the name of the video to navigate to the video home page where you can download it.

On the video home page, select the ellipses next to the like button, and select Download from the drop down list. This will start a download of the entire video, which could take a few minutes depending on your internet speed.

Once the video is downloaded, navigate to the OneDrive or SharePoint library you want to store the video in. For this blog, we’ll use OneDrive as an example storage location.

Upload the meeting recording to whatever folder or library makes sense for your organization – I am using a new folder for “Training Videos” where I can store future training session recordings in the future. Click the Upload button on the top bar and select Files from the drop down list. You will need to find the meeting recording in your downloads to successfully upload it.

After the video is uploaded, click the Share button next to the video name.

Link settings give you four options for sharing the video.

Anyone with the link: Anyone who has access to the link will have access to the video

People in [your organization]: Anyone in your organization who has access to the link will have access to the video

People with existing access: Anyone who already has access to the storage location of the video will have access to the video

Specific People: Only specific people you provide email addresses for will have access to the video.

The setting used will depend on the level of security you need for the meeting recording. For simple training recordings, you may want to let anyone with a link access the video so external users can share the link with others.

If the meeting recording contains sensitive data, you may want to limit access to specific people.

You also have the ability to set an expiration date or password for video access. Most organizations have a policy to have links automatically expire after 60 days. Check with your Microsoft 365 administrator to see what policies are in place for your own organization.

Once you select your link settings, click Apply. A shareable link will be automatically be created. You have the option to either enter an email address to send a link to or copy the link and share manually.

Microsoft continues to add features to Microsoft Teams and Microsoft 365 with the intent of making sharing content easier both inside and outside your organization. Once an easier way to share Teams meeting recordings becomes available, we will update this blog.
